Human Resources Assistant - HR - FT - DAYS

POSITION SUMMARY
Serves as a contact for all recruitment and hiring processes and assists in other Human Resource functions.
PRINCIPLE DUTIES AND RESPONSIBILITIES

Assists Human Resource Business Partners (HRBP) with Human Resources Information System (HRIS) throughout the recruiting and hiring process
Provides ongoing assistance to hiring managers and conveys knowledge of clerical requirements and recruitment processes within legal and organization policies
Creates and maintains job requisitions and job postings to internal hospital site and external recruiting websites
Coordinates the onboarding process for employees, including managing background checks, offer letters, orientation enrollment and required paperwork
Processes new hire paperwork and ensures requirements are met for new employees to start in a timely manner
Assists HRBP's with paperwork and follows process steps for internal employee status changes (e.g., transfers, changes in hours)
Monitors the recruitment email inbox and responds to applicant and recruiter calls, emails and other inquiries
Acts as a liaison with employment agencies, advertising agencies, and temporary agencies
Assists with writing/posting advertisements for recruitment needs
Coordinates and attends on-site/off-site job fairs or other recruiting events
Assists with coordinating travel arrangements with interview candidates
Greets, assists and directs incoming applicants, visitors, physicians and staff
Provides administrative support for Human Resources, assisting other HR professionals as needed
Compiles data and analyzes reports and trends
Assists with maintenance of current database of position descriptions
Reviews interview documentation and references obtained on potential employees
Maintains recruitment and new hire packets
Performs basic office/clerical duties such as: answering assigned telephones, opening and distributing correspondence, assisting with audio/visual equipment as necessary and providing clerical support and backup to other staff members/coworkers
Responds to employment verification requests
Processes invoices for payment
Performs other duties as assigned
Minimum Requirements
SKILLS AND ABILITIES

Demonstrates the ability to use a personal computer and various software programs applicable to the position
Demonstrates the ability to operate applicable office equipment
Demonstrates effective skills in oral and written communication
Exhibits the ability to deal effectively interdepartmentally and with the public
Exhibits the ability to maintain confidentiality, think and act independently with minimal supervision
Maintains regular, consistent and punctual attendance at the assigned job location
Must be able to work in a high paced, multi-tasking environment
EDUCATION/CERTIFICATIONS/LICENSES/DEGREES

Valid Oregon driver's license
High school diploma or equivalent preferred
Bachelor's degree in Human Resource Management or related field preferred
Basic medical terminology preferred
Notary Public preferred
EXPERIENCE

One to two years of secretarial science or equivalent
Previous customer service experience
Two to three years recruiting experience preferred

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
